Tips for Shipping Cover

Deciding to relocate overseas is monumental, but equally challenging is discerning which personal belongings to take with you and which to part with. These choices aren’t merely about space but revolve around the practical, financial, and sentimental value of each item. Sifting through your belongings, it’s crucial to strike a balance. While some items have irreplaceable sentimental value, others can be weighed against their financial worth. You will need to assess what truly matters and what can be substituted.

Surprisingly, we discovered that it’s financially wiser to purchase items in the host country rather than bear the shipping expenses. Bulky furniture or easily replaceable appliances might fall into this category. Before packing up electronics, you will also need to consider the voltage and plug variations. Many countries have different electrical standards.

In addition to finding the balance between what should be shipped and what should be excluded, one must find the optimal shipping company to handle this big move. Basically, you have three forms of transportation (of course, depending on where you live).

International Moving Options

  • Air shipping is the fastest and most efficient option, but it can be quite expensive. Air freight might also have a tight timeline you have to stick to when moving internationally.
  • Ocean freight is a much more affordable method, especially for larger items, but it can take several weeks or even months for your items to arrive at their destination. However, with sea freight, you will probably be able to move many more items to your destination country. A full container load might be more affordable for you than air freight.
  • Road transport can be a good choice for moving items across borders within the same continent, but it’s not practical for longer distances. When deciding how to move your items internationally, consider your budget, the size and weight of your belongings, and how quickly you need them to arrive.

Tips to Moving

Moving belongings to a new country involves careful planning and coordination. Here are some tips to help you navigate the shipping process and manage logistics effectively:

Create an Inventory and Labeling System

When it comes to organizing your inventory and valuable items, having a solid labeling system in place can make all the difference. Not only does it make it easier to find what you need but it also helps streamline the inventory process. Whenever you’re packing supplies, make sure to get different colored markers and color-coded items. Then keep this same coloring system on an Excel spreadsheet.

By separating items into categories such as fragile, non-fragile, and consumption items, you can ensure that everything is properly labeled and easily identifiable. Taking it a step further, numbering these items based on weight or other specific criteria can make it even more efficient. This inventory list will be essential for customs declaration and insurance purposes.

Obtain Quotes from Shipping Companies

Reach out to multiple shipping companies to obtain quotes. Compare prices, services, and customer reviews to choose a reliable and cost-effective option.

Pack Efficiently

The process of packing items to be shipped is important. Of course, if you use an international shipping company that can pack your items, they will know what is best to put in what box or container.  The key is being efficient, using proper packing materials, and labeling boxes clearly.

You can save some money packing your own house and palletizing your own shipment. If you are palletizing your own shipment, you might have to provide your own heat-treated pallets and shrink wrap. This can be found at your local lumber company. Just make sure to ask the lumber company for the required certificates if they don’t provide them.

Steps for Packing:

    1. Make sure everything is packed tightly with no open spaces in the lowest rows. This will help prevent shifting during transit.
    2. Use sturdy boxes that can handle the weight of your items. It’s also important to invest in quality tape to ensure that the seals stay intact during shipping. To ensure your item arrives safely, start by putting crumpled paper packaging, foam, bubble wrap, or any other cushioning material on the bottom of the package. This will help absorb any shock or impact that may occur during shipping.
    3. When it comes to packing the actual boxes, start with the heavier items and work your way up to the lighter and more delicate objects.
    4. Using boxes that are all similar sizes can make the packing process a lot easier in the long run and easier to organize into shipping containers.

Packing Soft Goods and Bedding

When moving or storing soft goods and bedding in your host country, it is crucial to protect them from air and moisture to prevent mold, discoloration, or damage.

Make sure to pack everything as airtight as possible. Using plastic vacuum bags for these items is a must since it reduces the space it occupies drastically. Utilize the empty spaces between boxes in your container. You can simply stuff your sheets and towels inside these nooks if they are sealed with a plastic vacuum bag.

Packing Artwork, Mirrors, and Framed Photographs

It is important to use a sturdy box and lots of padding.Put these items in last or at the top to avoid any additional weight crushing them during transit. For extra protection, you can also wrap them in plastic to ensure they don’t move around too much.

Consider Storage Options

If there is a gap between your departure and arrival dates, explore storage options for your belongings. Some moving companies offer storage services as part of their package.

Obtain Insurance Coverage

Ensure your belongings are adequately insured during transit. Most shipping companies offer insurance options, or you can explore third-party insurance providers.

Not all insurance is created equal. It’s essential to know the difference between the two most important types. Full Replacement Value coverage will compensate you for the current market value of a lost or damaged item. In contrast, Released Value calculates the compensation based on the item’s weight, often leading to a much lower payout.

    • Determine the worth of your possessions accurately. Underestimating can leave you underinsured, while overestimating can lead to higher premiums. Professional appraisals or recent purchase receipts can help in setting the right insured value.
    • You should make certain your policy covers unforeseen events like sea storms, earthquakes, or other natural disasters. Especially when transporting via sea or areas prone to specific natural events, this coverage is indispensable.
    • Should your items face damage or loss, act promptly. Notify your insurance company, provide required documentation like photos or purchase receipts, and follow their outlined process. Timely action increases the likelihood of a favorable resolution. Properly ensuring your shipments not only protects your financial interests but also grants you added confidence during the intricate process of international relocation.

Keep Important Documents Handy

Keep copies of important documents, such as the shipping contract, inventory list, and customs forms. Having these readily available will streamline the customs clearance process.

Track Your Shipment

If possible, choose a shipping company that provides real-time tracking. This allows you to monitor the progress of your shipment and receive updates on its location.

Coordinate Delivery and Unpacking

Coordinate the delivery of your belongings to your new address in your host country. It’s crucial to ensure the destination has proper access for delivery trucks, especially in areas with narrow roads or height restrictions. If you hired a professional moving company, inquire about unpacking services to make the settling-in process smoother. Discuss those items that may require specialized tools, heavy equipment movers, or additional manpower.

If you don’t have a fixed address, make sure to inform your shipping company that you don’t have a permanent address in your host country. Explore temporary storage solutions with your mover. A well-coordinated move ensures the safety and timely arrival of your items.

Familiarize Yourself with Local Regulations

Understand local regulations regarding prohibited items, deliveries, parking permits, and any other requirements for receiving shipments in your host country.

  • Prohibited Items – Countries maintain specific lists of restricted imports, but shipping companies also have their own set of prohibitions. For instance, while a country may allow certain materials, your chosen shipper might have rules against them due to safety or storage concerns. Commonly prohibited items include hazardous materials, perishables, and certain high-value items.

Furthermore, specific items, like untreated wood in furniture, might face bans in particular countries due to pest control concerns. Always cross-check with both your shipping company and the destination’s customs department to avoid unexpected rejections or penalties.

  • Quarantines: Certain countries, especially those with unique ecosystems. For instance, wooden items might need to be fumigated or treated to ensure they’re not harboring pests. Some countries even have specific regulations for items like soil-touched gardening tools or certain types of shoes that could potentially introduce foreign contaminants.
  • Regulations on Vehicles: Shipping vehicles internationally is more than just about transportation. Each country has its own emission standards, safety requirements, and even specifications, like the side of the vehicle the driver’s seat should be on. For instance, importing older vehicles might be subject to additional duties in countries with strict emission standards.
  • Duty and Tax Regulations: It’s essential to be aware of potential duties or taxes on items you’re importing. While many countries allow returning citizens to bring back household goods without significant duties, there might be specific categories of items, like electronics or luxury goods, that could be taxable. Always check the duty-free allowance and understand the valuation methods employed by customs authorities in the host country.

Engage with professionals or consult embassy websites to get a clear picture of the rules that apply to your shipment.

Communicate with Customs Agents

Stay in communication with customs agents at both departure and arrival locations. Address any inquiries promptly and provide necessary documentation.

Budget for Additional Costs

Budget for potential additional costs, such as customs duties, taxes, or fees associated with the shipping process. Be prepared for unexpected expenses. We have learned that in some countries, it all depends on the mood of the customs agent as to what he/she may do to determine whether or not they want to penalize you.

Plan for Delays

Acknowledge that delays can occur due to weather, customs processing, or other unforeseen circumstances. Plan accordingly and have contingency measures in place. Don’t pack something in your shipment that you may need in the next three months.

Dispose of Unnecessary Items

Before shipping, consider selling or donating items that may be easily replaceable in your host country. This reduces the volume of your shipment and potentially lowers costs. It is time to do some serious decluttering!

Consider Shipping Fragile Items Separately

Fragile or valuable items may require special handling. Consider shipping them separately or investing in additional packaging and protection.

Seek Guidance from Expats

Connect with expat communities in your host country. Seek advice from those who have gone through the process, as their insights can be invaluable.

By carefully planning and considering these tips, you can manage the logistics of shipping your belongings to a new country more efficiently and ensure a smoother transition to your new home.
